Privacy policy
Version dated 5 October 2026
This policy explains what personal information Easigrass™ Somerset West collects through artificialgrasssomersetwest.co.za, why we collect it, who we share it with and what your rights are under the Protection of Personal Information Act (POPIA).
Who we are
Easigrass™ Somerset West is the Helderberg branch of Easigrass™ South Africa. We supply and install artificial grass. For this website, we are the "responsible party" under POPIA.
- Area: Somerset West, Western Cape
- Email: somersetwest@easigrass.co.za
- Phone: 072 371 2333 (Monday to Friday, 8am to 5pm)
Our Information Officer is the owner of Easigrass™ Somerset West. You can reach them at the email address above.
What we collect
When you ask for a quote
- What we're grassing and the approximate size
- Your name, mobile number and email address
- How you'd like us to contact you, and anything you type in the message box
- Whether you ticked the box to get tips and offers by email
The form marks each field as required or optional. If you leave out a required field, we can't prepare your quote. Everything else is up to you.
Sent automatically with your quote request
- The page you arrived on and the website that sent you to us
- Campaign tags in the link you clicked, such as "utm" tags and Google or Facebook click IDs
- How long the form took to fill in, which helps us block spam
- A scrambled (hashed) version of your IP address, used only to stop too many requests from one device. We don't store your IP address itself.
When you visit this website
Our pages use the Meta Pixel, a small piece of code from Meta (the company behind Facebook and Instagram). It tells Meta which of our pages you visit, which buttons you click, whether you sent a quote request, and whether you tapped our WhatsApp, phone or email links. Meta also receives your IP address, details about your browser and device, and a cookie ID. When you fill in the quote form, the pixel can also send Meta a scrambled (hashed) copy of the name, mobile number and email address you type. Meta uses these to match your visit to a Facebook or Instagram account if you have one. Meta doesn't receive them in readable form, and it never receives your message.
When you contact us directly
If you call us, email us or chat on WhatsApp, we keep what you send us, for example photos of your garden, so we can help you.
Why we use it
- To prepare your quote, book your free measure-up and follow up with you
- To answer your questions and keep a record of your quote and any work we do
- To keep the quote form safe from spam and abuse
- To see which adverts and pages bring us enquiries, using the campaign tags
- To measure our Facebook and Instagram adverts and show them to people who are likely to want artificial grass, using the Meta Pixel
- To email you tips and offers, but only if you ticked the box
Our legal basis
- Preparing and following up on your quote is a step you asked us to take before a possible contract (POPIA section 11(1)(b)).
- Protecting the form, measuring our advertising and showing our adverts to the right people are in our legitimate interests (section 11(1)(f)).
- Tips and offers are sent only with your consent (sections 11(1)(a) and 69). You can withdraw it at any time.
Who we share it with
We don't sell your information. We only share it with the service providers we need to run our business, or where the law requires it:
- Pipedrive, our customer relationship management (CRM) system, which stores your quote request and our emails with you. Pipedrive may also send you an automated email about your quote on our behalf.
- Our email providers: emails from this website are sent through our web hosting provider, and our team reads them in Microsoft 365 (Outlook)
- Our web hosting provider, which runs this website and keeps a backup copy of quote requests
- Google Fonts: our pages load their font from Google, so your browser connects to Google's servers, which see your IP address
- Meta (Facebook and Instagram), through the Meta Pixel described above. Meta uses this information under its own privacy policy, which you can read at facebook.com/privacy/policy (opens in a new tab).
- WhatsApp (Meta), only if you choose to chat with us there
Information sent outside South Africa
Pipedrive stores our data in its UK data centre and uses some service providers in the United States. Google and Meta process data in several countries, including the United States. We use these services because they are needed to handle your request and to run our advertising, and they are bound by laws and agreements that protect personal information, as POPIA section 72 requires.
How long we keep it
- Quote requests that don't go ahead: up to 24 months, then we delete them
- The backup copy of form entries on our web server: up to 12 months
- Customer records: for as long as we need them for your job, your warranty and our tax records
- Tips and offers: until you ask us to stop. We keep a note of that request so we don't email you again.
How we protect it
This website uses an encrypted (HTTPS) connection. The backup copy of form entries is stored where it can't be opened from the internet. Only our team can see your details, and our service providers keep them secure under their own security measures.
Cookies and browser storage
The Meta Pixel sets cookies in your browser. The main one, called _fbp, lets Meta recognise your browser when you come back and lasts about 3 months. If you arrive from a Facebook or Instagram advert, a second cookie, _fbc, remembers which advert you clicked. Our own code doesn't set cookies.
While you fill in the quote form, your browser keeps your answers and the campaign tags in its session storage, so nothing is lost if the page reloads. After you send a quote request, it also keeps a small note so the same request isn't counted twice. Session storage is cleared when you close the tab, and nothing is sent to us until you press "Get my free quote".
You can block or delete cookies in your browser settings, or turn on your browser's tracking protection. If you use Facebook or Instagram, you can also change how Meta uses this information under Accounts Center > Ad preferences. The quote form, WhatsApp and phone links all still work if you block these cookies.

- ask us to correct or delete it
